Transport software for bus companies and school groups

School transport · · 3 min read

A transport company serving six schools, or a group with four campuses, has a problem a single school does not: the same fleet, the same office, and six sets of students, rules and parents that must never mix. Here is how school transport software should handle that, and what an operator's day looks like once it does.

One dashboard, each school apart

Every school on the platform is its own tenant: its students, buses, staff, parents and reports are kept apart, and a school's admin sees only their school. The operator's office sees all of them from one login and switches between schools in one click. Parents sign in with their school's code and see only their children. Nothing about school A is visible to school B, including in the apps.

Rules per school

Each school keeps its own rules: boys, girls or mixed buses, the maximum route length, which notifications its parents receive, whether parents may see the live map, and its country settings for phone numbers, time zone and the school week. The operator does not run one policy for everyone; it runs each school's policy for that school.

Where the buses sleep

A company fleet rarely parks at the school. Schooliy supports three depot policies: buses start and end at the school, at the driver's home, or at the escort's home. With a home-based policy, drivers and escorts are paired with tours by proximity before the routes are built, so that the first stop is chosen from where the bus actually starts, and no distribution runs while a required home location is missing or there are fewer escorts than tours. The empty kilometres before the first child boards are where a fleet's fuel goes, and this is where they are saved.

Staff who work for more than one school

The same phone number can hold an account at each school a driver or escort works for. They sign in with the school's code, and the app shows that school's tours. A teacher who is also a parent at the same school keeps both accounts on one phone.

Reporting per client

Trips, attendance, incidents and fleet use are reported per school, over any date range, and exported for the client's records or the contract review. The operator sees the same numbers across the fleet.

An operator's day

6:00, the fleet map shows every bus of every school leaving its start point. 6:40, an escort presses SOS on a bus that will not start; a replacement is dispatched from the same screen and parents of that tour are told. 7:30, every tour is closed with its attendance list. 9:00, a new client school's Excel lists are imported with a column-mapping step, students are located over the week, and the first distribution is run. The office answered no "where is the bus" calls.

Questions

Can a school see another school's data?

No. Each school is a separate tenant, with its own users, and the apps show a parent, driver or escort only the school they signed into.

Can we onboard a school ourselves?

Yes. Create the school, import its students, buses and staff from Excel, locate the students, and run the distribution. Schooliy also offers to do it with you on a demo call.

How is it priced for an operator?

Transport is priced by the number of schools, buses and students. Book a demo and we send a quote for your fleet.
