School bus tracking system: what your school actually needs

School transport · · 4 min read

Many private schools ask the same question: is a GPS tracker on each bus enough? If all you want is to see where a bus is, yes. If you want to run the school run, from building the routes to telling a parent the bus is two minutes away, no. This guide explains the difference and ends with a checklist for choosing a school bus tracking system.

What a GPS tracker does, and what it leaves out

A tracker reports the bus's position and speed to a map. That answers one question for one person in the office: where is bus 7 right now? It does not know which students are on bus 7, which stop comes next, whether a child boarded, or which parent is standing in the street waiting. Those are the questions a school transport office actually gets all morning.

A school bus tracking system starts from the students, not the vehicle. It knows every child's home, the bus and stop they belong to, who is driving and escorting, and it records what happened at each stop. The live map is one view of that, not the whole product.

The five parts of a complete system

  1. Route planning. You add students' home locations, and the system assigns each student to a bus and orders the stops on real road distances, within each bus's capacity, your boys, girls or mixed rule, and a maximum route length. In Schooliy this takes about a minute for a whole school, and you can adjust any route before it goes live.
  2. A live map for the office. Every bus, its current stop and its expected arrival on one screen. A replacement bus can be dispatched from the same place.
  3. A parent app. Parents see their child's bus on a map, get a notification about 500 m before the stop, and another when the child boards and when the child is dropped off. They report an absence with one tap, and the driver's list updates before the bus leaves.
  4. A driver and escort app. The day's tours, the stop list in order, navigation to the next stop, and attendance at every stop: boarded, dropped off or absent.
  5. Safety. A one-tap SOS from the driver or escort sends the bus's live location to the school, and the school follows the incident until it is closed.

Why schools switch now

Three things push a school to move. The first is the phone: every morning the same question comes in dozens of times, where is the bus, and every call interrupts the office. A notification before the stop ends those calls. The second is fuel and time: routes drawn by hand on a map are longer than routes built on real road distances, and a tour with three students wastes a driver's morning. The third is accountability: when a parent asks what happened at a stop last Tuesday, a paper list does not answer, and a stop-by-stop record does.

What to check before you choose

  • Is it fully in Arabic, right to left, and in English, in the apps as well as the dashboard?
  • Does it build the routes itself, or do you still draw them?
  • Does it respect your rules: bus capacity, boys and girls on separate buses, brothers and sisters together, a maximum route length?
  • Is there an app for parents, and separate apps for drivers and escorts?
  • Does the escort record attendance at every stop, and is there an SOS button with live location?
  • Can one account run several schools, for a school group or a transport company?
  • Does it work with your country's phone numbers, time zone and school week?
  • Can you import your current lists from Excel instead of typing them again?

If the answer to any of these is no, you are looking at a tracker with a nicer map, not a transport system.

Questions

Do we need new hardware on the buses?

No. The driver's or escort's phone shares the bus's location through the app. There is no tracker to install or maintain.

How do parents get the app?

They install Schooliy from the App Store or Google Play and sign in with the account the school gives them. The school decides which notifications parents receive.

Can we start with tracking only and add route planning later?

Yes. Schools often start with the live map and the parent app, and switch on automatic route planning once every student's home location is in.
