School bus route planning without the spreadsheet

School transport · · 4 min read

A transport coordinator can spend an afternoon moving students around a spreadsheet, and do it again every time a family moves or a bus changes. Automatic school bus route planning turns that into a minute's work. Here is what it does, the rules it should respect, and five changes that save hours every week.

What automatic route planning does

It takes every student's home location, your buses with their capacities, and your rules, then assigns each student to a bus and orders the stops so that the route is short on real roads, not as the crow flies. Schooliy uses road distances and drive times, keeps brothers and sisters on one bus, and follows your boys, girls or mixed rule. The result is a set of tours you can see on the map and adjust before anything goes live. For a whole school it takes about a minute.

The rules a school actually has

A generic routing tool knows about distance. School transport has rules a map does not know:

  • Maximum route length. A route that is too long exhausts the driver and the first child picked up.
  • Maximum rounds per bus. One bus can do two rounds in the morning if the first ends early enough; three is a guess.
  • Maximum jump between stops. No zig-zags across the city to pick up one more student.
  • Merge small tours. A tour with three students is folded into a neighbouring one so every bus leaves with a proper load.
  • Gender rule. Mixed buses, separate buses, or separate from a certain grade.
  • Grade range. Redistribute only the grades that changed, and leave locked tours alone.
  • Where the bus sleeps. At the school, or at the driver's or escort's home. The first stop should be chosen from where the bus actually starts, not from the school gate.

If a tool cannot be told these rules, you will end up correcting its routes by hand, which is the afternoon you were trying to save.

Five changes that save hours

  1. Stop planning every term by hand. Collect home locations once. Parents can pin their own in the app, and the escort can correct a wrong one from the field. From then on, every change is a re-run, not a rebuild.
  2. Merge the small tours. Three students on a 30-seat bus is a driver's morning and a tank of fuel for nothing.
  3. Assign drivers and escorts by distance. The driver who lives nearest a tour's first stop drives the fewest empty kilometres before the first child boards. Schooliy pairs staff with tours by proximity when buses sleep at staff homes.
  4. Give parents the map instead of your phone number. A notification about 500 m before the stop answers the question before it is asked.
  5. Keep the record. Attendance at every stop, boarded, dropped off or absent, so the office can answer a question about last Tuesday in ten seconds.

Alternate pickup and drop-off places

Children are not always collected from home: a grandmother's house on Tuesdays, a club after school, a different address in the afternoon. A good system lets each student have alternate places for given weekdays, and an evening drop-off that differs from the morning pickup, so that the routes reflect how families actually live rather than how the spreadsheet was set up in September.

What the first week looks like

Import students from Excel with a column-mapping step, add buses and staff, locate the students, run the distribution, review the tours on the map, adjust the few that need it, and go live. Drivers and escorts get the app, parents are invited, and from the next morning the office watches the map instead of answering the phone.

Questions

Do we need every student's location before we start?

For automatic planning, yes. Students without a location are listed so you can collect them, and you can go live with the located ones and add the rest as they come in.

Can we change a route the engine built?

Yes. Move a student or a stop by hand, and lock the tour. The engine never touches a locked tour when it re-runs.

What about the afternoon?

Afternoon tours are built the same way, with a different drop-off place wherever a family needs one.
